What Are Purchase Orders and How Are They Different from Invoices?

For many businesses, to go about their day to day operations they need to be able to buy certain replacement parts and products from outside vendors. Some larger companies have difficulty buying and keeping smaller items on hand for every different department, and when some small things are lacking, an entire department may fail to operate. It may be something as small as register tape, copier ink, or toilet paper, but without it, everything stops. In these cases, a purchase order is needed to assure the vendor they’ll get paid their price, and the main office is made aware of the purchase as well. At BMS Direct, we can do invoice processing in our sleep. So here are some tips on other reasons why nearly all companies should consider using purchase orders.

The Purchase Order Has Price, Quantity, and Part Number

The best reason of all to use purchase orders is to exactly define what it is you’re ordering, how many you want, and the agreed upon price. That way when you receive your order you aren’t surprised to get only one, when you wanted a dozen. Or, the price is double what was agreed upon on the phone.

On the purchase order everything is laid out and there is a spot for quantity, description, part number and price. There may also be terms of payment, name and address of the buyer, and other pertinent information.

There Are Copies for Several Departments

Most purchase orders are made with several different copies, each with a different colored paper. This way there is a copy for the seller, one for the buyer, and still another for the home office. Depending on how many departments need a copy, it’s possible to have everyone get one.

The purchasing department may need one to ensure that they are keeping the right supplies on hand, purchased in large quantities, so that smaller quantities aren’t bought at higher prices by individual departments. This kind of inventory control is important in order to keep track of costs, eliminate duplicated purchases, and track company theft.

The accounting department may want a copy to stop duplicate charges. They’ll take every PO, or purchase order, and match it up with a payment made from their invoices. If there are discrepancies, they can be looked into. Sometimes it’s only a mistake, but some vendors are constantly double billing and overcharging larger companies that don’t reconcile all of their purchases with paperwork.

The Main Difference Between Invoices and Purchase Orders

These two documents are easily confused and often are. When a company wants to authorize a purchase, they issue a purchase order and a copy Is sent to the vendor to fulfill. At the end of a month all of the purchase orders are added onto one page and then a bill is sent from the vendor to the company asking for payment, that is an invoice. An invoice can ask for payment on one or dozens of purchase orders and will usually list them in numerical order for easy viewing.

So, the purchaser issues the purchase order and the vendor receives it. On the other hand, the vendor issues the invoice and the purchaser receives that. The first confirms and describes the order while the second requests payment for the order or orders.

Stopping Employee Theft Helps Too

If the purchase orders issued by a company are all individually numbered, then any missing numbers will be suspect. That way, no employees would be able to order non-approved items and sneak the item out without there being a paper trail. Employee theft is a major problem in many industries and by keeping track of every purchase the main office can limit the amount of theft.

As you can see, the purchase order and invoice have their place in the business world. They’re a solid solution to ordering, receiving, and paying for products in businesses everywhere. They’re efficient and effective at what they’re designed to do.

Differences Between Arbitration and Lawsuits

There are times when you may see an arbitration clause in a contract or were told by a colleague that you should include an arbitration clause in a contract.  At these times, you might wonder about arbitration and how this may differ from a lawsuit.  There are a number of ways that lawsuits and arbitration differ, and you need to understand this before you go any further.

What Is Arbitration?

To better understand the differences, you need to know what arbitration is and what a lawsuit is.  Arbitration will involve 2 parties who are in a dispute agreeing to work with an unbiased third party to resolve the dispute.  When going through the process of arbitration, there may be more than one arbitrator who will hear both sides of the dispute.  The arbitrators are the ones who will make a decision on the issue.

What Is a Lawsuit?

A lawsuit also known as litigation is a very old process where a dispute is solved through the courts.  This process will include a judge and may include a jury.  Most people will have a civil lawsuit or civil litigation because this is the dispute between two parties.  Criminal litigation will only occur when the people involved have broken the law.

The Differences Between Arbitration and Lawsuits

The first difference is the privacy of the procedures.  Arbitration is more private as it will take place between the 2 parties, and the arbitrators and are informal.  Lawsuits are a more formal process and will be conducted in a public courtroom.  The proceedings will also be a matter of public record once the lawsuit has been completed.

The speed of the process also differs.  When compared to a lawsuit, arbitration can be completed fairly quickly.  Once arbitrators have been selected, the case can be heard immediately which is something you will not find with a lawsuit.  When dealing with a lawsuit, the case has to wait until the court has the time to hear it and this could be in many months’ time.  There are times when the courts are very busy and it can take years for a lawsuit to be heard.

The cost of the processes also differs with arbitration being limited to the fee that is paid to the arbitrator.  The fee will vary depending on the size of the claim, the expenses of the claim, and the experience of the arbitrator.  Lawsuits will have higher fees as lawyers will be involved and court costs will need to be covered.  These fees can be very high depending on the experience of the lawyers.

The selection of the arbitrator is left to the parties in the dispute.  They will have to mutually agree on the arbitrator who will hear their case.  With a lawsuit, the judge will be assigned by the courts and the parties in dispute will not have any say in this.  However, the parties will have the choice of having the case heard by a judge or by a jury.

In terms of evidence, arbitration has a limited evidence process and the arbitrator will control the evidence that is allowed.  When dealing with a lawsuit, there needs to be full disclosure of evidence to both parties.  This disclosure is not part of the arbitration process.

When you go through arbitration, there are no appeals and the decision is binding.  The only time an appeal is allowed is when it has been included in the arbitration clause.  There are times when the decision from arbitration can be vacated by a judge if it is found that the arbitrator was biased.  Lawsuits allow for a number of appeals at varying levels.

The Benefits of Clear Span Structures vs Beam-Supported Buildings

Structures can benefit from being designed and built with safety and flexibility in mind. There are many safety regulations that are in place in the construction industry. These regulations govern what needs to be done but despite these regulations, there are two basic styles of buildings. These include clear span structures and those that are built with beam supports.

There are many benefits to building clear span building structures instead of beam supported structures. The information provided in this article will illustrate what the benefits of clear-span designs are.

Beam-supported buildings have been in place for decades. In the United States, this type of design was popular in the construction of subdivisions where houses were being built in large quantities. Each had to be sound in its construction, but it also had to be practical to build such a structure. This was done using the post and beam construction process.

For houses, this meant using vertical wood beams placed about eight feet apart along with horizontal beams placed above them for support. These horizontal beams would form either a second floor or a roof. A different type of construction comes in the form of clear-span design.

This is done with tension fabric. This style of building is also referred to as truss-arching or free spanning. These buildings do not need any interior beams or supports or posts. They are built using strong but lightweight aluminum and galvanized steel. They are erected from the ground up and have open spaces in between the building’s arches.

With the difference in design, it may not seem obvious what the benefits are to using clear-span architecture. With this design, you get the biggest benefit of more space because there are no columns to obstruct the floor area. You can use the space for storage or to place inventory for retail use. Because there are no ceiling beams anything that you store in a clear-span building can be stacked to the ceiling.

The building is completely sound, and it is also highly economical. You get much more space inside for a building that costs a lot less than a traditional structure does to build. This means that one of the other benefits of having a clear-span building is that you can reduce operating costs in the future. Initially, the investment will be less and the return on that investment will be greater because of the amount of stock or inventory you can store in the building.

It is easier to move your inventory to such a building because there are no pillars on the ground. These buildings are cost-effective, versatile and safe. For warehouses, they cannot be matched in value. They are excellent for storing equipment that is oversized or oddly shaped.

It should be noted that with all the benefits in the open design, the building does need to be carefully designed to avoid collapse. The steel or other metal also needs to be protected from corrosion and the elements. Other than these factors, there are far more benefits to clear-span buildings.

The roles of a CPA and a CFO are often confused. While it is true that in some circumstances one may perform the duties of another, they each have their strengths and weaknesses that need to be highlighted. Often times, whether you work with a CPA or a CFO will depend on the size and income of your business.

Perhaps you are considering hiring one or the other for your business. Or maybe you are just curious about what their job includes. Let’s take a look at these two different types of financial advisers and what they do for most companies.

What Is A CPA?

In the most basic sense, it is a person who has managed to pass the CPA exam and received a license to work as a CPA by any state in the United States. They must then continue to renew this license on a regular basis. Of course, that doesn’t say much about what they actually do for their job.

In most cases, a CPA will work as a part of a larger CPA firm that outsources their services to various businesses or individuals. However, some work as sole practitioners and manage their own personal clients. Regardless of their approach to acquiring clients, most of the work they perform is still the same.

A CPA can perform a variety of functions for a business. These functions usually relate to managing, reviewing, and preparing financial statements for the business. Most of their work revolves around taxes and thus they must have an in-depth knowledge of local tax laws. An EA (enrolled agent) also performs some tax functions, but there are important differences between an EA and a CPA.

In slightly more rare cases, a CPA may provide financial consultation or advice for a small business. Their expertise tends to be with tax-related issues, but they can provide general financial advice in many cases.

What About CFO?

Compared to the functions of a CPA, what are CFO services? A CFO far more equipped to provide strategical financial advice to growing businesses. They are not experts in tax law but are instead experts in general business finances.

CFO stands for Chief Financial Officer and their job demands that they understand all financial aspects of managing a business. They will have a long history working in corporate finance positions and are able to adequately gauge financial risks, manage a corporate budget, and create fiscal standards for the business.

While both parties can play an important role in the growth of a business, the job of a CFO is around the clock. On the other hand, a CPA may only be contracted to work during certain times of the year.

Sooner or later, most businesses decide they need an executive team and that team tends to include a CFO. This usually only happens after a business has crossed a certain threshold. Companies that still hover below the $20 million mark may find that a CPA is an adequate investment for now. However, some realize that the CFO could be what they need to break across that threshold.

It’s a tough decision for any business to make. There are obviously many great benefits associated with hiring a full-time CFO, but those benefits come along with a demand for a salary. A CFO is usually paid very handsomely, so it’s a big investment that must be considered carefully. Ironically, you could consult with a temporary CFO and ask whether hiring a full-time CFO is a smart financial move for your business.

At the end of the day, your business will need the services of both. The CFO will help your business grow and the CPA will make sure your financial records and tax returns are properly handled.

OSINT includes any type of information, in any medium, that is not considered to be classified and that is available to the public for those who seek it. Sometimes, this may involve paying for access to some of the information, but it is still available online for those who are willing to pay. All of these developments have affected to role of the private investigator in modern times.

Most average citizens are not fully aware of the wealth of information that is available to them. Because of this and the fact that most people don’t know exactly where to find the information they need, this is where the private investigator comes in to save the day. An investigator knows exactly what sources to access to find what they need for your case, legally, and by using the Internet.
